Customizing OTP Email Sender and Templates (Organization Level)
This feature allows organization admins to customize the "From Name" and "From Email" for OTP (One-Time Password) messages. It also provides the ability to localize the sender's name based on the user's selected language.
Purpose
Use this feature to provide a branded login experience for your users. By customizing sender information, you ensure that security emails are recognizable, reducing the chance of them being ignored or marked as spam. Localizing the sender name adds a personal touch that resonates with global audiences.
Step-by-Step Instructions
Step 1: Access Organization Profile
Log in to your admin account. From the main sidebar on the Event Management Dashboard, click on Organization Profile.

Step 2: Navigate to Email Campaign Settings
Once the Organization Profile page opens, locate the inner menu and click on Email Campaign. This section houses the global configuration for your organization's outgoing emails.

Step 3: Enable Custom Sender Details
In the Email Campaign Setting area, toggle the Custom From Email switch to the "On" position (green).
- Custom From Email: Enter the email address you want to appear as the sender.
- From Name: Enter the default name users will see in their inbox (e.g., "Ahmed").

Step 4: Add Multi-Language Sender Names
To localize the sender's identity for different regions:
- Click Add Language.
- Select the languages you wish to support (e.g., Arabic, Chinese).
- In the text fields that appear below, enter the specific From Name for that language. For example, while the English sender might be "John Smith," you can set the Arabic sender name to "Zahid."

Scroll to the bottom of the page and click Update to save your new configuration.
Step 5: Create and Configure the OTP Template
To customize the content of the OTP email:
- From the organization dashboard, navigate to System Emails.

- If an existing template is not present, click +Create Template and select the Mobile App OTP Email option.

- Choose the target Language, enter the Subject of the email, and verify the From Email.

- Click Continue in the bottom right to open the editor and modify the template for that
specific language.

Step 6: Save and Test Your Configuration
- Hit Save to store your customized template.
- To verify the setup, click the envelope icon in the Actions column for your template.

- Enter the recipient's details (First Name, Last Name, and Email) and hit Send Test.

- Email has been sent to the recipient's inbox.

What Happens After Setup
- For the Admin: The system stores these settings as the global default for all events under the organization. Any OTP triggered will now use the custom email and the language-specific name you provided.
- For the User: If a user opens the App in English, they will see the English "From Name." If they switch the App language to Arabic, the OTP email they receive will automatically display the Arabic "From Name" (e.g., Zain Hameed) in their inbox.
Summary
