Enabling and Managing the Registration Approval Feature

Manually review and approve each registration before granting event access.

Why Use This Feature?

The Registration Approval feature allows event organizers to manually approve or reject attendees before they gain access to the event. This is especially useful for private or limited-access events.

How to Enable Registration Approval

  • Navigate to Participants > Attendees and Registrants > Settings > Registration Approval.
  • Enable the toggle for "Require Approval For All Registrations."

Once enabled, all new registrations will be marked as "Pending Approval" and require manual action.



Additional Email Toggles

When the main toggle is enabled, three new toggles will appear:

  • Send Registration Confirmation Email to Approved Users: Sends a confirmation email once a user is approved. This email is configured in the registration form.
  • Send Rejection Email to Rejected Users: Sends an automated email when a user is marked as rejected.
  • Send Email When User is Marked as Pending Approval: Notifies users their registration is under review after they submit the form.

Enable all these toggles if you wish to automate communications for each status.

After configuring, click "Update Settings."

Viewing and Managing Registrants

  1. Head back to the Attendees and Registrants listing.
  2. Click the Column button.
  3. Scroll to find "Registration Status", check it, and click Apply.
  4. You’ll now see a Registration Status column in your list.

New registrants will appear as Pending Approval. The corresponding email will be sent automatically.

Note: When the Registration Approval toggle is disabled, the Registration Status column will only display Registered and Cancelled statuses by default.

Updating Registration Status

  • Click the status next to a registrant to update it.
  • When changed to Approved:
    • The user receives the confirmation email.
    • The user gains access to the event.
  • When changed to Rejected:
    • The user receives a rejection email.
    • Access is denied.
  • You can also change an Approved user’s status to Cancelled if they choose to withdraw after registering.

Note:

  • Rejected: Denies access and sends a rejection email.
  • Cancelled: Removes access post-approval (e.g., user cancels their own registration).

Importing Users in Registration Approval Flow

  • Ensure the Registration Approval and Email Toggles are enabled.
  • Click the Import button.
  • Download the sample CSV template.
  • The CSV will include a Registration Status column along with other required fields based on your registration form.
  • Upload the filled CSV.
  • During import, choose which email template to send based on status from the dropdown.
  • Click Import to finalize.


This allows for bulk approval, rejection, or pending status assignments with automated email communication.
