# How to Configure Multilingual Abstract Management Flow

## Learn how to configure the multilingual Abstract Management flow in vFairs to provide abstract submitters, reviewers, and event organizers with a multilingual experience. This guide explains how to configure abstract submission forms in multiple languages, translate abstract categories, tracks, evaluation criteria, and acceptance or rejection reasons, and customize the labels and columns displayed in the Submitter and Reviewer Portals.

### **Part 1: Configure the Abstract Submission Form in Multiple Languages**

Event organizers can configure translations for the fields displayed on the abstract submission form. This allows submitters to view the form in their preferred language and provide their submission details accordingly.

#### Step 1: Open the Abstract Submission Form Builder

1. Log in to the vFairs event backend.
2. Navigate to the **Form Builder** section.
3. Open the configuration for the **Abstract Submission Form**.
4. Identify the fields that need to be translated into the languages supported by your event.![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-19-2026-09-45-00-6684-AM.png?width=2907&height=974&name=image-png-Oct-19-2026-09-45-00-6684-AM.png)

#### Step 2: Configure Field Translations

1. Open the settings for the field you want to translate.
2. Access the field's configuration pop-up.
3. Locate the multilingual or translation options available for the field.
4. Add the translated field text for each language supported by your event.
5. Repeat this process for every field that requires translation.

Depending on the field configuration, ensure that the relevant field labels and other translatable text are provided in the required languages.![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-19-2026-09-45-47-0232-AM.png?width=661&height=278&name=image-png-Oct-19-2026-09-45-47-0232-AM.png)

#### Step 3: Review the Translated Form

1. Review the translations configured for each field.
2. Ensure that the translations are accurate and consistent across the supported languages.
3. Repeat the process for all applicable fields in the Abstract Submission Form.

**Expected result:** The abstract submission form can display its configured field text in the applicable language when a submitter accesses the corresponding language variant.

---

### Part 2: Configure Multilingual Abstract Management Settings

In addition to translating the submission form, event organizers can configure translations for the values and content used throughout the abstract submission and review process.

These configurations include abstract categories, tracks, evaluation criteria, and acceptance or rejection reasons.

The translations are managed through the multilingual pop-up available for the relevant configuration items.

#### Step 1: Identify the Languages Configured for Your Event

Before adding translations, ensure that the required languages have been configured for the event.

For example, if the event supports **English, Arabic, French, and Spanish,** the multilingual pop-up will provide the corresponding language variants for translations.

Event organizers can then enter the appropriate translated values for each supported language.

#### Step 2: Translate Abstract Categories and Other Identifiers

Abstract Management uses identifiers and configurable values to organize and classify submissions. These values should be translated so that submitters and reviewers can understand them in their selected language.

1. Navigate to the Abstract Management \> Submission identifiers configuration in the vFairs backend.
2. Open the configuration item you want to translate, such as an abstract category or track.
3. Open its multilingual pop-up.
4. Locate the language variants available for the event.
5. Enter the translated value for each supported language.
6. Review the translations and ensure that each language variant accurately represents the original value.
7. Repeat the process for all applicable categories, tracks, and other configurable identifiers that support multilingual translation.

**Example:**

An event supports English, Arabic, French, and Spanish. An event organizer can configure the translation of an abstract category in all four languages through its multilingual pop-up, allowing users to see the appropriate category label in their selected language.![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-19-2026-09-46-56-0936-AM.png?width=2878&height=1593&name=image-png-Oct-19-2026-09-46-56-0936-AM.png)

#### Step 3: Translate Reviewer Evaluation Criteria

Evaluation criteria define the parameters reviewers use to assess abstract submissions. These criteria can also be configured in multiple languages.

1. Navigate to the evaluation criteria configuration in Abstract Management.
2. Open the multilingual pop-up for the relevant criterion.
3. Add the translated criterion text for each language supported by the event.
4. Review each translation to ensure that the meaning and intent of the evaluation criterion remain consistent across languages.
5. Repeat the process for all evaluation criteria that require translation.

**Expected result:** Reviewers can access the translated evaluation criteria corresponding to their selected language, wherever those criteria are displayed in the multilingual review experience.![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-19-2026-09-51-20-9041-AM.png?width=2923&height=1593&name=image-png-Oct-19-2026-09-51-20-9041-AM.png)

#### Step 4: Translate Acceptance and Rejection Reasons

Event organizers can also configure multilingual acceptance and rejection reasons so that submission decisions can be communicated appropriately to users in different languages.

1. Navigate to the configuration for acceptance and rejection reasons in Abstract Management.
2. Open the multilingual pop-up for the relevant reason or option.
3. Enter the translated text for each language supported by the event.
4. Review the translations to ensure that the intended decision and explanation remain clear.
5. Repeat the process for all acceptance and rejection reasons that require translation.

**Expected result:** The configured reasons and options can be presented in the appropriate language wherever they are displayed in the multilingual Abstract Management flow.![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-19-2026-09-52-37-5963-AM.png?width=2939&height=1579&name=image-png-Oct-19-2026-09-52-37-5963-AM.png)

#### Step 5: Review All Multilingual Configuration Values

Before moving to the portal configuration, review the translated configuration items.

Confirm that:

- Abstract categories and applicable identifiers have the required translations.
- Tracks have been translated into the supported languages.
- Evaluation criteria are translated consistently.
- Acceptance and rejection reasons and options have the required translations.
- All applicable language variants have been populated.

This review helps maintain a consistent multilingual experience throughout abstract submission and evaluation.

### Part 3: Configure the Submitter and Reviewer Portals in Multiple Languages

The Submitter and Reviewer Portals provide users with access to their respective abstract management workflows. In addition to translating form fields and configuration values, event organizers need to configure the translatable interface labels and listing columns.

This configuration is managed through the **Translations & Labels** section in the vFairs backend.

#### Step 1: Open the Portal Translation Settings

1. Log in to the vFairs event backend.
2. Open the **Translations & Labels** section.
3. Identify the translatable interface labels, buttons, and listing column names that need to be configured.

Repeat the configuration for the Submitter Portal and Reviewer Portal as applicable.

#### Step 2: Configure Translations for Buttons and Interface Labels

Buttons and interface labels help users navigate and perform actions within their respective portals.

1. Locate the button labels and other translatable interface text in the **Translations Enable** section.
2. Add the required translations for each language supported by the event.
3. Ensure that the translated labels clearly communicate the intended action.
4. Review the translations for consistency across the portal.

For example, navigation labels and action buttons should use the appropriate translated text when a user switches to another language variant.

#### Step 3: Configure Translations for Listing Columns

The Submitter and Reviewer Portals display abstract information in listing views. The column labels should also be translated to match the selected language.

1. In the **Translations & Labels** section, locate the translatable listing column labels.
2. Add the translated label for each supported language.
3. Repeat this process for all applicable columns in the Submitter Portal.
4. Configure the corresponding column translations for the Reviewer Portal.
5. Review the translations to ensure that the column names accurately represent the information displayed in each column.

**Expected result:** When users switch languages, the applicable listing column labels can be displayed in the corresponding language instead of remaining in the default language.![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-19-2026-09-55-46-1172-AM.png?width=2931&height=1596&name=image-png-Oct-19-2026-09-55-46-1172-AM.png)

#### Step 4: Review the Portal Translation Configuration

Before validating the end-user experience, confirm that the required translations have been configured for:

- Interface labels and navigation text.
- Action buttons.
- Submitter Portal listing columns.
- Reviewer Portal listing columns.
- Other applicable translatable labels available in the **Translations Enable** section.

Ensure that the portal configuration covers all the languages that the event intends to support.

---

### Part 4: How Submitters Use the Multilingual Abstract Submission Experience

Once the event organizer has configured the submission form and relevant translations, submitters can access the multilingual submission experience.

#### Step 1: Open the Submitter Portal

1. Access the Abstract Management Submitter Portal using the applicable event link and access method.
2. Locate the language switcher in the top-right corner of the portal.

#### Step 2: Select the Preferred Language

1. Open the language switcher.
2. Select the required language from the available language variants.
3. Review the portal after switching languages.

#### Step 3: Access the Translated Submission Experience

After selecting a language, submitters can view the applicable translated interface, including configured form field labels, buttons, listing column labels, and other translated content.

Submitters can then complete and manage their abstract submissions using the language variant they selected, subject to the translations configured by the event organizer.

---

### Part 5: How Reviewers Use the Multilingual Review Experience

Reviewers can use the same language-switching approach to access the Reviewer Portal in their preferred language.

#### Step 1: Open the Reviewer Portal

1. Access the Reviewer Portal using the applicable event link and reviewer access method.
2. Locate the language switcher in the top-right corner of the portal.

#### Step 2: Select the Preferred Language

1. Open the language switcher.
2. Select the language in which you want to review abstracts.
3. Allow the portal to display the corresponding language variant.

#### Step 3: Review Abstracts Using the Translated Interface

Once the language has been selected, reviewers can access the applicable translated interface, including configured buttons, listing column labels, evaluation criteria, and other translated content.

Where translations have been configured, reviewers can use the corresponding language variant to navigate the portal and evaluate abstract submissions.

The availability of translated content depends on the translations configured by the event organizer.
