How to Control Mobile App Availability for Event Attendees

Learn how to control when attendees can access your event's mobile app by configuring a separate availability window from the main event dates.

  2. Enabling the Mobile App Availability Window
  3. Configuring Mobile App Dates
  4. How Mobile App Availability Works

Understanding Event Access Dates

In the Event Backend, navigate to:

Event Setup → General Settings

Here, you will find the following fields:

  • Start Date
  • End Date

By default, these dates determine when attendees can access your event on both:

  • Web Platform
  • Mobile App

Attendees can only access the event within the configured event date range.

Enabling the Mobile App Availability Window

To configure a separate access period for the mobile app:

  1. Go to Event Setup → General Settings
  2. Scroll down to find the toggle Mobile App Availability Window
  3. Enable the toggle

Once enabled, two additional fields will appear:

  • Mobile App Start Date
  • Mobile App End Date

Configuring Mobile App Dates

Select the dates during which attendees should be allowed to access the mobile app.

These dates can be different from the event's main Start Date and End Date.

For example:

  • Event Start Date: June 15
  • Event End Date: June 17
  • Mobile App Start Date: June 1
  • Mobile App End Date: June 30

In this scenario, attendees can access the mobile app before and after the event dates, while web access continues to follow the event's configured Start and End Dates.

How Mobile App Availability Works

The Mobile App Availability Window provides greater flexibility for event organizers by allowing mobile app access to be managed independently of the event schedule.

Common use cases include:

  • Allowing attendees to explore the app before the event begins
  • Providing access to schedules, exhibitors, and networking features ahead of time
  • Keeping the app available after the event for follow-up activities and content review
  • Running year-round or extended-access mobile experiences

When enabled, the Mobile App Start Date and Mobile App End Date override the event dates for mobile app access only. Web platform access will continue to follow the event's main Start Date and End Date settings.

Conclusion

The Mobile App Availability Window gives you greater control over the attendee experience by allowing the mobile app to remain available on a different schedule than your event. This flexibility helps organizers extend engagement before, during, and after the event while maintaining separate access controls for web and mobile users.
