# How to Create and Manage Segments Using the Revamped Segments Flow

## Learn how to create a segment, choose the appropriate segmentation method, select the user type, configure conditions, and use additional features such as AND/OR logic to create targeted user groups.

### Step 1: Navigate to the Segments Module

1. Log in to your vFairs event backend.
2. Navigate to **Participants \> Segments**.
3. On the Segments listing page, click **Create Segment** to begin creating a new segment.

![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-14-2026-10-33-42-5052-AM.png?width=610&height=226&name=image-png-Oct-14-2026-10-33-42-5052-AM.png)

### Step 2: Add a New Segment

1. Enter a descriptive name in the **Segment Title** field.
2. Choose a name that clearly identifies the purpose of the segment. For example:
     - VIP Attendees
     - Registered Workshop Participants
     - Speakers
     - Attendees Who Have Not Logged In
3. Proceed to configure the segment by selecting the relevant user type and segmentation method.

**Tip:** Use descriptive segment names so you can easily identify and reuse them when configuring targeted communications or access rules.

### Step 3: Select the User Type

Choose the type of users you want to include in the segment.

Depending on your event configuration and the available options, this may include:

- **Attendees:** Users registered to participate in your event.
- **Speakers:** Users associated with event sessions as speakers.
- **Booth Representatives:** Users representing exhibitors or managing booths.

Select the appropriate user type based on the audience you want to group.

For example, if you want to create a segment of attendees who registered for a particular workshop, select Attendees.

**Note:** The available user types and conditions may vary depending on your event configuration.

### Step 4: Choose the Segmentation Method

Determine how users should be added to your segment. The revamped Segments flow supports two approaches.

#### Option A: Manual Selection

Choose manual selection when you want to include specific users individually rather than identifying them through a set of conditions.

**How to create a manually selected segment:**

1. Select the manual user selection option.
2. Search for the users you want to include using the available user selection controls.
3. Select the relevant users.
4. In case you intend to upload users in bulk, select the option that reads "**Bulk Upload Via CSV**"
5. Review your selections to ensure the intended users are included.
6. Save the segment.

**Example:** You want to create a segment containing five specific VIP attendees. Instead of defining conditions, you can manually select those five attendees.

**When should you use manual selection?**

Use this method when you already know exactly which users should belong to the segment and do not need the system to identify them based on conditions.

![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-14-2026-10-38-26-4235-AM.png?width=326&height=638&name=image-png-Oct-14-2026-10-38-26-4235-AM.png)

#### Option B: Condition-Based Selection

Choose condition-based selection when you want the system to identify users automatically according to criteria you define.

**How to create a condition-based segment:**

1. Select the user conditions option.
2. Choose the relevant category or criteria source available for the selected user type.
3. Select the field you want to use for segmentation.
4. Choose the appropriate condition.
5. Specify the value, where required.
6. Add additional conditions if needed.
7. Review the resulting segment configuration before saving.

**Example:** You want to create a segment of attendees who selected Engineering as their department during registration. Select the relevant registration field, choose the appropriate matching condition, and specify Engineering as the value.

**When should you use condition-based selection?**

Use this method when you want to group users according to registration responses, profile information, or supported event activities, rather than selecting each user individually.

![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-14-2026-10-39-36-3753-AM.png?width=299&height=595&name=image-png-Oct-14-2026-10-39-36-3753-AM.png)

### Step 5: Configure Segmentation Conditions

When using condition-based selection, define the rules that determine which users are included in the segment.

Depending on the available criteria, you may be able to create conditions based on:

- Registration form responses.
- User profile information.
- Login and event activity.
- Session selections or reservations.
- Other supported engagement criteria.

To configure a condition:

1. Select the relevant field or criteria category.
2. Choose the condition that determines how the field should be evaluated.
3. Enter or select the required value, if applicable.
4. Add more conditions to refine the audience.

Common condition types may include:

- **Contains:** Includes users whose field contains a specified value.
- **Doesn't Contain:** Includes users whose field does not contain a specified value.
- **Is Specified:** Includes users for whom the field has a value.
- **Not Specified:** Includes users for whom the field is empty.

The available conditions depend on the selected field and criteria category.

![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-14-2026-10-40-46-7481-AM.png?width=316&height=633&name=image-png-Oct-14-2026-10-40-46-7481-AM.png)

### Step 6: Combine Conditions Using AND/OR Logic

The revamped Segments flow supports AND/OR logic to help you define more specific audiences using multiple conditions.

**AND logic**

Use AND when a user must satisfy all the specified conditions to be included in the segment.

Example:

- Department is Engineering.
- Registration status is Approved.

With AND logic, only users who satisfy both conditions are included.

**OR logic**

Use OR when a user can satisfy any one of the specified conditions to be included in the segment.

Example:

- Department is Engineering.
- Department is Information Technology.

With OR logic, users who satisfy either condition can be included.

**How to configure the logic:**

1. Add the required conditions.
2. Select the appropriate AND/OR operator between them.
3. Review the relationship between the conditions.
4. Add or adjust conditions as needed.
5. Verify that the resulting logic reflects the audience you intend to target.

**Tip:** AND logic generally narrows your audience, while OR logic can broaden it. Always review the resulting segment before using it for targeted communications or access configuration.

![](https://help.vfairs.com/hs-fs/hubfs/image-png-Oct-14-2026-10-42-15-6495-AM.png?width=301&height=602&name=image-png-Oct-14-2026-10-42-15-6495-AM.png)

### Step 7: Review the Segment and Save

Before saving your segment:

1. Confirm that the segment title is descriptive.
2. Verify that the correct user type is selected.
3. Confirm whether you have selected manual or condition-based segmentation.
4. Review the selected users or configured conditions.
5. Check the AND/OR logic, if applicable.
6. Save the segment using the available save action.

Once saved, the segment should appear in the Segments listing, where you can manage it using the available actions.

For condition-based segments, the resulting user group can reflect changes in user information or activity as supported by the configured criteria.

### Step 9: Edit or Manage an Existing Segment

To update an existing segment:

1. Navigate to **Participants \> Segments**.
2. Locate the segment you want to update.
3. Use the available Edit action to open its configuration.
4. Modify the relevant details, user selections, or conditions.
5. Save your changes.

You can also use the available management actions to remove segments that are no longer required.

Before editing a segment used by other event workflows, review its dependencies to understand the potential impact of your changes.

### Step 10: Use Segments in Other Event Workflows

Once created, segments can help you target users and personalize their event experience.

Depending on the features enabled for your event, segments may be used to:

- **Email Campaigns:** Target specific user groups with relevant communications.
- **Segment Rules:** Configure visibility or access behavior for supported event content.
- **Reporting:** Review or analyze users belonging to particular groups, where supported.

**Note that Segment Rules are configured separately from the segment itself. Creating a segment groups users; configuring a rule determines how supported content or access settings apply to that group.**
