How to Create Welcome Popups Triggered by Badge Printing or Check-In

Create personalized welcome messages and resources that appear after onsite actions like badge printing or event check-in. Welcome Popups can appear in the vFairs Mobile or Onsite App, tailored to the attendee, app, and trigger.

Prerequisites

The Badge Printing module must be enabled for the event.

This feature relies on actions performed through the vFairs Onsite App, such as printing an attendee's badge or checking them into the event. Therefore, the popup configuration is only available when the Badge Printing module is enabled.

Accessing Welcome Popups

You can access the popup configuration from either of the following sections in the Backend:

  • Marketing > Event Ads


  • Mobile App > Event Ads


Once you open Event Ads:

  1. Click Create Ad or Popup in the top-right corner.
  2. At the top of the configuration screen, select Popup.

Note: The Ad option is used to create mobile app advertisements. For information about creating mobile ads, see How to Create an Ad in the Mobile App.

Creating a Welcome Popup

After selecting Popup, you need to choose where the popup should appear.

Two options are available:

  • Mobile App
  • vFairs Onsite App

Select the app where you want the popup to be displayed.

Note: The Mobile App option only appears when the Mobile App module is enabled for the event.

The configuration options vary depending on the app you select.

Configuring a Mobile App Popup

The Mobile App is attendee-facing, so you can provide a more personalized welcome experience with text and supporting resources.

After selecting Mobile App, configure the following:

Field Description
Language Select the language in which the popup should be displayed.
Title Enter the title of the welcome popup.

For example: Welcome to the Event!
Description Add the message you want to display to the attendee.

You can use this space for personalized greetings, instructions, important information, or a welcome message.
Attachment You can optionally attach supporting content to the popup.

Available attachment types include:

- URL
- PDF

For example, you could attach an event guide, venue information, or a link to an important event resource.

Configuring an Onsite App Popup

Select vFairs Onsite App if you want the popup to appear in the Onsite App.

The Onsite App is primarily an admin-facing application, but it can also be used on a self-serve kiosk. As a result, its popup configuration and appearance are different from the attendee-facing Mobile App popup.

When configuring an Onsite App popup, you can define the popup content and trigger settings available for the Onsite App.

Note: Attachments are not available for Onsite App popups.

The Onsite App popup uses a different interface from the Mobile App popup.

Selecting the Audience

After configuring the popup content, select the Audience that should receive it.

Depending on your event configuration, you can target the popup to:

  • All participants
  • Specific attendee segments
  • Other available participant groups

This allows you to create different welcome experiences for different audiences.

For example, you could create a dedicated welcome message for VIP attendees while showing a different message to general attendees.

Setting the Popup Trigger

Select when the popup should be displayed.

Two triggers are available:

Badge Print

Select Badge Print if you want the popup to appear when the attendee's badge is printed.

For example, you could use this trigger to show a welcome message immediately after an attendee receives their badge.

Check In

Select Check In if you want the popup to appear when the attendee is checked into the event.

For example, you could display venue instructions or a welcome message immediately after the attendee checks in.

Important: The popup is only triggered after the configured action occurs. Simply opening the app or logging in will not trigger the popup.

Activating the Popup

After completing the configuration, enable the Status toggle.

The popup will only work when its Status is enabled.

Make sure you have configured the correct:

  • App
  • Language, where applicable
  • Audience
  • Trigger
  • Content

before enabling the popup.

Preventing Duplicate Popups

The system does not allow two popups with the same configuration to be created.

For example, if you create a popup with:

  • App: Mobile App
  • Audience: VIP Attendees
  • Trigger: Badge Print

you cannot create another popup with the exact same configuration.

To create another popup, at least one of the relevant configuration options must be different.

For example, you could:

  • Change the App
  • Change the Audience/Segment
  • Change the Trigger
  • Use another available configuration option

This prevents multiple identical popups from being configured for the same audience and trigger.

Tip: Use different audiences, triggers, or apps to create distinct welcome experiences for different attendee journeys.
