How to Manage Group Check-Ins and Badge Printing in the vFairs Onsite App

Learn how to manage group registrations in the vFairs Onsite App, including bulk badge printing, group check-ins, and group check-outs.

Enabling Group Check-In and Badge Printing

Before using this feature, you must enable it from the Event Backend.

  1. Navigate to Badge Printing App.
  2. Click Badge Printing Settings.
  3. Open the Others tab.
  4. Enable the toggle Enable Group Badge Printing and Check-In.
  5. Save your changes.

Once enabled, the Onsite App will automatically detect when an attendee belongs to a group registration and display the Group Listing screen.

Accessing a Group

Groups can be accessed using any of the standard attendee lookup methods available in the Onsite App, including:

  • QR Code Scanning
  • Search by Name
  • Facial Recognition (if enabled)
  • User Listing

When a group member or group leader is identified, the app will automatically open the Group Listing screen.

Understanding the Group Listing Screen

The Group Listing screen displays all members belonging to the same registration group.

Key behaviors:

  • The Group Leader is always displayed at the top of the list.
  • All group members are displayed underneath the leader.
  • Members can be individually selected or deselected.
  • Available actions depend on the app mode and the current status of selected members.

This screen allows event staff to perform actions for multiple group members at the same time.

Printing Badges for Group Members

When the Onsite App is in Badge Printing Mode:

  1. Open a group through any supported lookup method.
  2. Select the members whose badges you want to print.
  3. Tap Print Badges.

You can:

  • Print badges for the entire group
  • Print badges for specific members only

This allows event staff to quickly process large groups without printing badges one attendee at a time.

Checking In Group Members

When the Onsite App is in Check-In Mode:

  1. Open a group through any supported lookup method.
  2. Select one or more attendees who are not currently checked in.
  3. Tap Check In.

The selected attendees will be checked into the event immediately.

Dynamic Selection Behavior

The Group Listing screen only allows actions on attendees with the same attendance status.

For example:

  • If you select attendees who are Not Checked In, the action button will display Check In.
  • If you select attendees who are Checked In, the action button will display Check Out.

This prevents accidental mixing of check-in and check-out actions within the same operation.

Checking Out Group Members

To check out attendees:

  1. Open the Group Listing screen.
  2. Select one or more attendees who are currently checked in.
  3. Tap Check Out.

The selected attendees will be checked out immediately.

As with check-ins, only attendees with the same status can be selected together.

Group Leader Behavior

The app includes special behavior to simplify group processing.

When a Group Member Is Selected

If a group member is:

  • Scanned
  • Searched
  • Selected from User Listing

Only that attendee will be selected by default on the Group Listing screen.

When a Group Leader Is Selected

If the Group Leader is:

  • Scanned
  • Searched
  • Selected from User Listing

The entire group will be automatically selected.

This helps event staff quickly process complete groups for badge printing, check-ins, or check-outs.

You can still modify the selection manually before performing any action.
