How to Use External (Non-vFairs) QR Codes for Check-In and Badge Printing

Learn how to use your own (external) QR codes for event check-in, badge printing, and session check-ins in vFairs.

Accessing Badge Printing Settings

  1. Go to your Event Backend.
  2. Navigate to Badge Printing App.
  3. Click Badge Printing Settings.


  4. Open the Others tab.

Enabling External QR Codes

  1. Locate the toggle:“Are you using a non-vFairs QR code to check-in or print badges?”
  2. Enable the toggle.

Once enabled, additional configuration options will appear.

Mapping QR Code Data

After enabling the feature:

  1. Locate the field:“Please select the field where non-vFairs QR data is saved”


  2. Select the user field that matches the data encoded in your QR codes
    1. Important The selected field must contain unique values for each user (e.g., Email, Registration ID) Avoid using non-unique fields such as First Name, as this can cause incorrect check-ins or badge printing issues
  3. Click Update Settings to save your changes

Supported Use Cases

Once configured, you can use your external QR codes for:

  • Event Check-In
  • Badge Printing
  • Session Check-Ins

The system will match the scanned QR code data with the selected user field to identify attendees.
