How to View and Manage Calendar View for Group Meetings

This feature helps users view all upcoming group meetings in a clear calendar format, making it easier to manage and edit meeting schedules as needed.

Overview

The Calendar View for Group Meetings in vFairs allows event organizers and participants to efficiently manage their scheduled group meetings in a time-based layout.


Steps to View and Manage Calendar View for Group Meetings

🔹 Step 1: Log in and Navigate to Networking

  1. Log in to your vFairs event backend using your credentials.

  2. In the left navigation menu, go to Networking.


🔹 Step 2: Click on Group Meetings

  1. Once in the Networking section, click on Group Meetings to access the group meeting management options.


🔹 Step 3: Switch to Calendar View

  1. On the Group Meetings page, click on the Calendar View option to switch to the calendar-based layout.

    • This will display all your scheduled group meetings in a time-slot-based format, allowing you to view them by date and time.


🔹 Step 4: Edit a Group Meeting

  1. To make changes to any scheduled meeting, click on the specific meeting entry in the calendar.

  2. A drawer will open on the side where you can edit the meeting details as mentioned below: 


🔹 Step 6: Save Changes

  1. Once you’ve made the necessary changes to the meeting details, click on the Save button to save the updated meeting information.


🧠 What Happens After Editing a Group Meeting?

  • Updated Meeting Information: The changes you make will be saved and reflected in the calendar. The updated meeting details will be visible to you and the attendees.

  • Real-Time Syncing: Any modifications to the meeting (time, location, etc.) will be updated across the system, ensuring all participants have the latest information.

  • Organize Meetings by Tracks: If you’re managing multiple types of meetings (e.g., sessions, networking, panels), consider organizing them into Tracks for better clarity and easier management.

  • Double-Check Meeting Details: Before saving changes, review the meeting details to ensure the information is accurate, especially for timing and location.

  • Use the Search Function: If your calendar has numerous meetings, use the search or filter functionality to quickly locate a specific meeting.
