This helps manage capacity, control visibility, and organize attendees based on predefined categories and subcategories. ### **Step 1: Create a Registration Category** 1. Log in to the **Event Platform Backend**. 2. Navigate to **Participants \> Segments \> Registration Categories**. 3. Click on **+ Create Category**. 4. In the creation drawer: 5. Enter **Category Name** (Required) 6. Add **Description** (Optional) 7. If Registration Limit & Waitlist are enabled: 8. Enter **Max Registrations** 9. Enter **Max Waitlist** **![](https://help.vfairs.com/hs-fs/hubfs/undefined-Oct-07-2026-12-12-53-1269-PM.png?width=670&height=345&name=undefined-Oct-07-2026-12-12-53-1269-PM.png)** **![](https://help.vfairs.com/hs-fs/hubfs/undefined-Oct-07-2026-12-12-52-6549-PM.png?width=670&height=345&name=undefined-Oct-07-2026-12-12-52-6549-PM.png)** **Note:**The total limits across all categories must be **less than or equal to** the overall event registration and waitlist limits. ### **Step 2: Configure Category Settings** Within the category creation drawer: - **Availability Period**Define the time window during which the category is selectable in the registration form. - **Visibility Toggle**When enabled, the category becomes available for selection in the registration form. In the **Registration Categories** tab, locate your category. 2. Click the **three-dot menu**. 3. Select **Create Subcategory**. 4. Configure it similarly to a category. **Important Rules for Subcategories:** - Max Registration & Waitlist must be within the parent category limits. - Availability period must fall within the parent category’s availability. - If the parent category is hidden, subcategories cannot be visible. ### **Step 4: Add Category Widget to Registration Form** 1. Navigate to **Registration \> Attendee Registration Form**. 2. Add the **Category Widget** to your form. ![](https://help.vfairs.com/hs-fs/hubfs/undefined-Oct-07-2026-12-12-53-6317-PM.png?width=670&height=345&name=undefined-Oct-07-2026-12-12-53-6317-PM.png) This will display: - A dropdown of all visible categories - A subcategory dropdown (if applicable) **Widget Settings (Right Panel):** - Show Category Description - Show Category Availability Period - Hide in Registration Form (Advanced) - Hide in Profile (Advanced) These advanced options are useful when assigning categories internally (e.g., for pre-approved attendees). ### **Step 5: Category Behavior During Registration** - Registrants can select a **Category and Subcategory** during form submission. - Only categories with **visibility enabled** are shown. - If a category reaches its capacity: - It will no longer be available for selection. - Waitlisting (if enabled) will apply within that category. ### **Step 6: View Category Data** After registration: - Category and Subcategory can be viewed in: **Participants \> Attendees & Registrants**(Enable columns via the **Columns** button) - Category-based waitlist logic: - Queue positions are assigned **within each category** - Promotion from waitlist happens based on availability **within that specific category** ### **Step 7: Reporting** Category data is available in: **Analytics \> Reporting 360 \> Registrations Report** - Accessible under the **User Pill** - Can be used for segmentation and reporting purposes ### **Step 8: Email Campaigns** Email Campaigns can also be sent on the basis of Category or Subcategory When sending an email campaign select the Registration Category Tab in the Audience Segment: ![](https://help.vfairs.com/hs-fs/hubfs/undefined-Oct-07-2026-12-12-54-1385-PM.png?width=670&height=345&name=undefined-Oct-07-2026-12-12-54-1385-PM.png) ![](https://help.vfairs.com/hs-fs/hubfs/undefined-Oct-07-2026-12-12-52-1788-PM.png?width=670&height=345&name=undefined-Oct-07-2026-12-12-52-1788-PM.png) ### **Summary** Registration Categories help structure your registration flow by grouping attendees into defined segments.
