Updating Passwords Across Your Organization

vFairs allows users and administrators to update account passwords through three distinct methods to ensure security and ease of access.

Purpose

For users managing multiple organizations, using a single, recently updated password serves as a "single source of truth." This eliminates the need to manage different credentials for the same email identity across various organizations.


Step-by-Step Instructions

Method 1: Using "Forgot Password" at Login

This method is used if you cannot access your account or wish to reset it before logging in.

  1. Navigate to the Sign-In Screen: Open the vFairs backend login page.
  2. Select Forgot Password: Click the Forgot Password? link located directly under the password field.

  1. Enter Email: On the Reset Password screen, enter the email address associated with your account and click Submit.

  1. Verify Identity: You will receive a 6-digit One-Time Password (OTP) in your email inbox. Enter this code on the Two-Factor Authentication screen.

  1. Set New Password: Once the OTP is confirmed, enter your new password and confirm it, then click Change Password.


Method 2: Updating via Organization Profile

Use this method to change your own password while already logged into the platform.

  1. Access Organization Profile: From your organization dashboard, click Organization Profile in the left sidebar.

  1. Navigate to Security: Click on the Security tab within the profile settings.

  1. Change Password: Locate the Change Password section.
    • Note: Your new password must be at least 8 characters long, include at least one uppercase and one lowercase letter, and contain one special character.
  2. Save Changes: Enter your new password, confirm it, and click Update.

Method 3: Updating Passwords for Team Members

Administrators can use this method to update the credentials of other staff members.

  1. Navigate to Teams: Click on Teams from the left sidebar of your organization dashboard.

  1. Select a Member: Find the specific team member from the list and click the pencil (edit) icon under the "Actions" column.

  1. Edit Password: A drawer labeled Update User will open. Click into the Password field and type the new password.

  1. Confirm Update: Click the Update User button at the bottom of the drawer to save the changes.

What Happens After Setup

  • Confirmation: If you used the "Forgot Password" method, you will be redirected to the login screen with a green confirmation message stating the password reset was successful.
  • Synchronization: The updated password becomes the primary credential for that email identity across all linked organizations.
  • Immediate Access: Users can immediately log in using their new credentials.
