Who Is This For
This article is intended for vFairs Organization Owners who want to connect Claude to their organization’s vFairs MCP Server and access event data through natural-language questions.
Only the Organization Owner can establish and authorize the connection. Once connected, it can support reporting and analysis needs across marketing, operations, analytics, and other event teams.
What is MCP?
MCP stands for Model Context Protocol. It is an open standard that allows AI applications to connect to external tools and data sources. The vFairs MCP Server acts as a controlled bridge between Claude and the vFairs organization you authorize.
vFairs remains the source of your event data. MCP gives Claude a conversational way to retrieve and analyze the information made available through the connection.
Connecting vFairs to Claude
Follow these steps to connect your vFairs organization to Claude. You'll need the vFairs MCP Server URL: https://agent.vfairs.com/mcp
Step 1: Open Connectors in Claude settings
Go to Settings, then under “Customize” in the left-hand menu, select “Connectors.”

Step 2: Add a custom connector
Click “Add,” then select “Add custom connector” from the dropdown.

Step 3: Enter the vFairs connector details
In the “Add custom connector” dialog:
- Enter a Name for the connector (e.g. “vFairs” or "vFairs MCP").
- Paste the Remote MCP server URL: https://agent.vfairs.com/mcp
- Leave “Advanced settings” (OAuth Client ID/Secret) blank, these are optional and not required for the standard vFairs setup.
- Click “Add.”

Step 4: Authenticate and select your organization
Once added, find the vFairs connector in your Connectors list and click “Connect.” This redirects you to the vFairs authentication page:
- Log in with your vFairs Organization Owner credentials.
- Select the organization you want to connect to Claude. If your login has access to more than one organization, choose carefully, this determines which events and data Claude will be able to see.
- Approve the connection to complete authorization.
You'll be redirected back to Claude, and the connector will now show as connected.
Step 5: Enable the connector in a conversation
Custom connectors are turned on per conversation, not globally:
- Click the “+” button in the lower-left of the message box.
- Select “Connectors.”
- Toggle the vFairs connector on.
You're now ready to ask Claude questions about your event data.
Note: If you manage more than one vFairs organization, you may need to reconnect and re-authorize to switch which organization Claude is scoped to.
What Data Claude Can Access
Once connected, Claude can query the following data from your vFairs organization. Everything below is scoped to the organization you authorized during setup; Claude cannot see data from other organizations.
Events and organization: List events, review event dates and formats, retrieve individual event details, and compare performance across multiple events.
Attendees and registrations: Review registration counts and trends, segment attendees using registration-form responses, compare sources, and identify incomplete profiles or inactive registrations.
Sessions and speakers: Search session and speaker details, review schedules and tracks, rank sessions by attendance, and identify sessions with low engagement.
Exhibitors and booths: Retrieve exhibitor and booth information, compare visitor traffic, and identify booths that are performing strongly or may need additional promotion.
Attendee activity and engagement: Analyze event check-ins, booth visits, session attendance, content views, and other available activities. Identify highly engaged attendees and people with little or no activity.
Meetings: Review available meeting information, including scheduled or accepted meetings, when that data is available to the connected organization.
Surveys: Analyze survey, poll, and quiz responses; summarize sentiment; identify common themes; and recommend improvements.
Reports and benchmarking: Create executive summaries, compare events, identify anomalies, recommend next actions, and prepare data for dashboards or shareable reports.
How to Ask Better Questions
Claude works best when your question gives it enough to scope the query precisely. A few tips:
- Name the event: if your organization runs multiple events, say which one you mean (e.g., “for the 2026 Career Fair”) rather than just “this event.”
- Use exact names where you can: booth names, session titles, and attendee names get matched more reliably when typed as they appear in vFairs.
- Give a date range for trend questions: “between May 1 and June 30” is more reliable than “last couple months.”
- Ask follow-up questions: Claude keeps context within a conversation, so you can refine (“now just show me the ones from the waitlist”) instead of re-writing the whole question.
- If a name matches more than one person, booth, or event, Claude will ask you to clarify — answering that follow-up gets you an accurate result faster than trying to make the first question more specific.

Troubleshooting
The Connectors option is missing: Confirm that your Claude plan, workspace role, and administrator settings support custom connectors. Availability and menu labels may change as Claude updates its interface.
Authentication fails: Confirm that you are signing in with a valid vFairs Organization Owner account. Only the Organization Owner can authorize the connection.
Claude does not use the connector: Start a new conversation, enable the vFairs connector if required, and explicitly say “Use the vFairs MCP connector” or the connector name you selected during setup.
The requested information is not returned: Confirm that the information exists within the connected vFairs organization. Make your question more specific by including the event name, date range, and required metric.

Data Privacy and Responsible Use
Before connecting, understand that your vFairs data will be shared with and processed by the AI provider you choose to connect.
The vFairs MCP Server extends the security and privacy practices you already expect from vFairs to AI-assisted event analysis — but once connected, your event data is transmitted to your selected LLM provider for processing, subject to that provider's own terms, privacy policy, and data handling practices. vFairs does not control how your chosen provider stores, uses, or retains this data.
The connection itself is scoped for safety: it must be authorized by a vFairs Organization Owner, is limited to the connected organization, and provides read-only access. Your assistant retrieves event information only when you ask it to, and you can disconnect at any time.
Before enabling the connection, your organization should:
- Confirm that this use complies with applicable privacy laws and your organization's internal AI policies.
- Review your agreements, privacy notices, consent requirements, and data-retention settings.
- Review the privacy, security, and data-processing terms of your selected AI provider.
- Limit access to authorized users, and request only the information needed for a legitimate business purpose.
- Prefer aggregated or anonymized reporting, and avoid including unnecessary personal, sensitive, or confidential information in prompts or outputs.
