Allowance Negotiation Essentials for Vendors & Booth Reps

Learn how to efficiently manage and finalize allowance negotiations within your Exhibitor Portal. This guide is tailored specifically for Vendors, Exhibitors, Booth Admins, and Booth Representatives.

1. Accessing Allowance Negotiation

  • Log in to your Exhibitor Portal.

  • Click on the Allowance Negotiation sub-tab to access your worksheets.

2. Reviewing Your Worksheet

  • Vendors/Exhibitors/Booth Admins: You will see your individual booth worksheet.

  • Booth Reps: You will see worksheets for all booths assigned to you.

  • Items in your worksheet initially display the status Pending Supplier Review.

Your worksheet includes:

  • Supplier information

  • Allowance worksheet status (e.g., Pending Supplier Review, Accepted)

  • Number of items awaiting your action

Click any worksheet Booth Name to view detailed item information and proceed with negotiation or acceptance. You can also click the Actions icon.

3. Negotiating Allowances

Individual Item Negotiation:

  • Click the three-dot icon next to the specific item you wish to negotiate.

  • Select Negotiate from the dropdown menu.

  • In the side panel that opens:

    • View the current allowance.

    • Enter your proposed allowance amount.

    • Add any relevant comments.

    • Click Negotiate to send your proposal to the admin.

  • The admin will receive an email notification regarding your proposal.


Bulk Negotiation (Worksheet-Level):

  • Click Edit Worksheet (top-right corner).

  • Adjust allowance values for multiple items at once.

  • Once all changes are complete, click Save Changes.

  • A single email notification summarizing all updates will be sent to the admin.

4. Accepting Allowances

Individual Acceptance:

  • Click the three-dot icon next to the item you wish to finalize.

  • Select Accept from the menu.

  • The item allowance is immediately finalized and marked as Accepted.

Bulk Acceptance:

  • Select multiple items using the checkbox on the left.

  • Click the More button (top-right corner).

  • Select Accept Selected Items from the dropdown menu.

  • This action finalizes allowances for multiple items simultaneously, saving you significant time.


Understanding Allowance Negotiation Statuses:

  • Pending Supplier Review: Awaiting your negotiation or acceptance.

  • Accepted: Allowance has been finalized and will appear on the e-commerce front-end.

  • Rejected: Allowance proposal was rejected; you can resubmit negotiation.

Tips for Efficient Negotiation:

  • Regularly check your worksheet to ensure timely responses.

  • Review email notifications carefully for accurate tracking.

  • Clearly communicate negotiation proposals and responses in the provided comments.
