The poster submission form is a dedicated area where presenters enter all content related to their poster submissions. Completing this form automatically generates a poster session within the event platform, displaying all the information provided in the form.
This article provides a step-by-step guide on submitting posters through the poster submission form.
STEPS FOLLOWED BY POSTER PRESENTERS
- Presenters access the “vFairs Poster Upload Form” and begin adding details of their posters. The first field that they are exposed to is adding the “Poster Title”.
2. The next step is to select the “Poster Group” that the submission belongs to. This is done through the poster group selection dropdown within the form, which displays groups created by event organizers for associating submissions.
3. The user then adds basic information which includes providing “Name” and “Email Address.
4. After adding basic information, the next set of fields capture handout details to be associated with the poster. These include:
- Handout Title
- Upload Handout PDF
NOTE: It is important that the handout file is in accordance with the file specifications mentioned in the tooltip, i.e., less than 20 MBs in size and in PDF file format.
5. Then comes the description insertion part where users add descriptive content associated with the posters.
6. The presenter is then asked to upload a thumbnail of the poster. This image appears within the poster hall and is a tiny snippet of the poster that the presenter is uploading.
NOTE: Users have to be mindful of the thumbnail specifications provided via tooltip. It needs to be in 300 x 300 pixels and a PNG or JPEG file type.
7. Upon uploading a thumbnail, the user is then asked to upload the main poster file via the “Upload Poster PDF” option. As the name specifies, the poster file should be in PDF format and the size should be less than 20 MBs
8. After adding the main poster PDF, the final step is to add any collateral video associated with the poster being added. The video can either be uploaded through the user’s device or they can directly paste the “Youtube or Vimeo” link of the video file in the collateral video insertion box.
NOTE: It is important to ensure that the file size of the video being added is up to 5 GB in size and the format of the video is MP4, MOV, WMV, AVI, and FLV.
9. After adding all of the poster specific details, the final step is to click on the “Submit” button to submit the poster and it accordingly gets stored in the event’s backend and is uploaded in the “Poster Hall” of the platform.

The poster presenters can be registered for the event and can also monitor the “Q&A” section of their posters to respond to the queries raised by attendees.
