How to Capture Leads as an Exhibitor Using the Lead Capture App

The vFairs Lead Capture App allows exhibitors to scan attendee QR codes, collect key information, and manage leads efficiently in real time.

Capturing a Lead

  1. Open the app and log in using your Exhibitor credentials.
  2. Tap the “+” icon at the bottom of the home screen.

You will see multiple options to capture a lead.

Lead Capture Methods

You can capture leads using the following methods:

1. Scan QR Code

  • Opens the QR scanner
  • Scan the attendee’s QR code

Requirements:

  • The attendee must be using the vFairs Event App
  • Their QR code must be visible
  • They must be registered for the same event

2. Scan Card

  • Use this option to scan a physical business card
  • The app will extract and populate attendee details automatically (where possible)

3. Manual Entry

  • Enter the attendee’s email address

How it works:

  • If the email exists in the event:
    • The app will fetch the attendee’s details
    • You will be taken to the next screen with pre-filled data

  • If the email does not exist:
    • You will still proceed to the next screen
    • Only the email field will be pre-filled

You can also skip adding email if:

  • The attendee is not registered for the event
  • The attendee is not using vFairs mobile app
  • The attendee does not want to share their email

This allows you to manually enter their details.

Note: The app fetches attendee data using email only. It does not match users based on name or other fields.

Adding Lead Details

After capturing or entering the attendee:

  • You will see two tabs:
    • Profile Details
    • Lead Details

Profile Details

  • Contains attendee information
  • Fields can be configured from the backend

Lead Details

  1. Go to the Lead Details tab
  2. Assign a Lead Type:
    • New
    • Urgent
    • Hot
    • Warm
    • Cold
  3. Add notes or record a voice note to capture context
  4. Voice notes can be transcribed in multiple languages, including:
    • English
    • French
    • German
    • Japanese
  5. Tap Save to store the lead

Filtering Leads

  1. From the home screen, tap View All Leads
  2. Tap the Filters icon to open available filter options
  3. Use the filters to search and narrow down leads

This helps you quickly locate leads for follow-up or export.
