How to Create a Welcome Email for Attendees

This guide walks you through the process of crafting and sending a welcome email to your attendees.

Overview

Sending a Welcome Email is a great way to engage attendees right after registration. It sets the tone for the event, provides important details, and builds excitement. vFairs allows organizers to easily create and schedule welcome emails using the Email Campaigns feature.


Steps to Create a Welcome Email

🔹 Step 1: Access the Email Campaign Tool

  1. Go to the Marketing section from the left navigation menu.

  2. Click on Email Campaigns.

🔹 Step 2: Start a New Campaign

  1. Click the “Create New Campaign” button located at the top right of the screen.

  2. Fill in the required fields:

    • Campaign Name

    • Email Type

    • From Name
    • From Email

    •  Audience Segment(e.g., All Attendees, Specific Segments)

  3. Click Continue.

🔹 Step 3: Write Your Welcome Email

  1. In the email editor:

    • Add your welcome message and event details.

    • Personalize using placeholders like How to Create a Welcome Email for Attendees.

    • Include links (e.g., login link, agenda, help center).

    • Optionally, insert banners or a CTA button.

  2. Review your email draft.

🔹 Step 4: Send or Schedule

  1. Once you’re satisfied:

    • Click “Send Now” to deliver it immediately, or

    • Choose “Schedule” seen at bottom right of the screen to send at a future date and time.

  2. Click Save to finalize the campaign.
