Learn how to create and manage chatrooms, allowing organizers to foster real-time interactions and discussions between attendees, exhibitors, and speakers during events.
What is a Chatroom?
Chatrooms are designed to enhance networking and communication among event attendees. Organizers can create chatrooms for different topics, sessions, or exhibitor booths, enabling participants to ask questions, learn about services, share information, and engage in meaningful discussions. By facilitating real-time interaction, chatrooms help build a sense of community, making the event more interactive and collaborative. Additionally, chatrooms can be used for specific functions like Q&A sessions or discussions around a particular theme or industry.
Steps to create and manage chatrooms
- Login to the Backend: Use your admin credentials to log in.
- In the left-hand navigation menu, click on Networking and then select Chatrooms.
- Click the “+ Add New” Button: This button is located at the top right corner of the chatroom listing page.
- Fill Out the Chatroom Creation Form: The following fields are available:
Room Name | Enter the title of the chatroom (e.g., "Networking Lounge", “Booth Name”) |
Description | Provide a short description of the chatroom. |
Select Booth | Select the exhibitor or booth associated with the chatroom (if applicable) |
Image | Upload an image, logo, or banner to represent the chatroom |
Moderator | Select users to moderate the chatroom discussions |
Auto-Join this chatroom for all users? | Enable this to automatically add all users to the chatroom without requiring them to join manually. |
Attendees cannot start DM with Reps | Enable to prevent attendees from starting direct messages with booth representatives |
Attendees cannot post to this room | Enable to restrict attendees from posting in the chatroom (for admin-only postings) |
Booth Reps cannot post to this room | Enable to restrict booth representatives from posting in the chatroom |
Active | Set the chatroom to Active or Inactive status |
5. Save the Chatroom: Click the Save button to create the chatroom.
Managing Chatrooms
After creating a chatroom, it will appear in the listing. Here’s how to manage your chatrooms:
- Status Toggle: Use the interactive toggle in the listing to set a chatroom as Active or Inactive.
- Edit Chatroom: To modify a chatroom’s details, click the Edit icon.
- Delete Chatroom: Use the Delete option to remove a chatroom (this action is irreversible).
- Reorder Chatrooms: Click the Reorder button to change the order in which chatrooms appear to users.
You can also use the search feature to quickly locate a specific chatroom.
