How to create custom email workflow/sequence for registrants?

vFairs allows complex email sequenced workflow so based on fulfillment of a criteria a registrant can receive a totally different email template based on what was configured by the organizer.

Setting Up Custom Email Sequences in vFairs Registration Forms

This guide outlines how to create dynamic, personalized email sequences in vFairs, where specific emails are sent to registrants based on their form responses. This ensures every attendee receives relevant communication tailored to their registration profile.

Step 1: Access the Registration Form Builder

  1. Log into your vFairs event backend.
  2. Go to Forms → Registration Forms.

Step 2: Create form fields on which you want dependency.

  1. Create new fields or modify existing ones (e.g., "Job Role," "Industry").
  2. Save the registration form 
  3. Go to form settings and select custom email template.


Step 3: Create the criteria for email trigger.

  1. Create criteria for Custom email template:

    • After selecting the "Custom Email_template", click on the view button.
    • Here you can create criteria or multiple criteria(s) for triggering the email. Multiple can be created using AND and OR operators.


Step 4: Create Personalized Email Sequences

Select the email template you want to send:

  • From the drop down, select the email template you want to send.
  • If email template isn't created, you can create the email template from Marketing >> System emails.


Step 4: Customize the Email Template

  1. Use the Email Builder:

    • Design your email using the drag-and-drop editor available in the platform.
    • Insert dynamic fields (like {FirstName} or {Industry}) from the list of the tags to make the emails personalized 
    • You can use HTML code blocks or predefined templates as well.
  2. Add Relevant Content:

    • Tailor the content according to the audience segment (e.g., educators get details about webinars specific to their industry).
    • Preview emails to ensure they display correctly across devices.

Step 5: Test and Activate the Email Campaign

  1. Send Test Emails:

    • Use the Send Test option in the list of system emails to verify the email’s formatting and personalization .
    • Ensure all dynamic fields are rendering correctly
