How to Create Custom Email Workflows for Registrants

vFairs allows you to set up dynamic email workflows, ensuring that users receive personalized confirmation emails based on their specific form responses. This guide will walk you through creating these workflows step by step.

Step 1: Access the Registration Form Builder

  1. Log into your vFairs event backend.
  2. Navigate to Forms → Registration Forms.
  3. Create a new Form by clicking on +Add or click on the pencil (edit) icon for the form you want to configure a custom email workflow for.

Step 2: Enable Custom Email Template

  1. In the Edit Form Settings sidebar, find the User Confirmation Email field.
  2. From the dropdown, select CUSTOM_EMAIL_TEMPLATE.
  3. Click on the View button that appears below.

Step 3: Set Criteria for Email Triggers

  1. Click on the + Add Sequence button to start building your criteria.
  2. Choose the Field (e.g., Job Role, Industry) on which you want to base the condition.
  3. Select the Condition (e.g., Equals To, Not Equals To, Greater Than, Less Than).
  4. Enter the Value that matches your condition.

  1. (Optional) Use AND/OR operators to add multiple conditions.

 

Step 4: Select Email Templates for Each Sequence

From the dropdown, select the email template you want to send when the condition is met.

 

If the desired email template isn’t created yet, go to Marketing → System Emails to create one.

Repeat the process to add more sequences if needed.

Step 5: Save and Test Your Workflow

  1. After configuring your sequences, click Save.
  2. Test your form by registering with different responses to ensure the correct email templates are triggered.
