How to Enable and Manage the Waitlist Feature

The waitlist feature lets organizers manage attendee limits by allowing waitlisted users to register. This ensures that if spots become available, waitlisted attendees can be easily moved to confirmed registrants.

Enabling the Waitlist Feature

To enable the waitlist for your event, follow these steps:

  1. Navigate to the Event Backend
  2. Go to Event Settings
  3. Find the "Enable Attendee Registration Waiting List" Toggle
    • Turn this toggle ON to activate the waitlist functionality.
  4. Set the "Attendee Registration Limit"
    • Enter the maximum number of attendees allowed to register.
    • Once this limit is reached, users will be directed to join the waitlist by completing the registration form.

How the Waitlist Works for Attendees

  • When an attendee completes the registration form after the registration cap is reached, they are automatically added to the waitlist.
  • They will receive a confirmation email informing them that they are on the waitlist, including their waitlist queue number.

Managing Waitlisted Attendees

Event organizers can view and manage waitlisted attendees from the event backend:

  1. Navigate to Participants > Waiting List Attendees
  2. Managing Attendees on the Waitlist:
    • Click on the three-dot menu next to a waitlisted attendee.

  • Choose one of the following actions:
    a. Change Status
    • This moves the attendee from the Waiting List to the Attendees & Registrants section.
    • An email is triggered, notifying them that their registration is confirmed.

  • b. Delete from Waitlist
    • If space is unavailable, you can remove a waitlisted attendee.
    • An email will be sent informing them that their registration could not be confirmed.

Key Features & Notifications

  • Waitlisted attendees will only be moved to active attendees when space becomes available and the organizer manually confirms their registration.
  • Emails are automatically triggered for:
    • Waitlist Addition (upon joining the waitlist)
    • Waitlist Approval (when moved from waitlist to active attendees)
    • Waitlist Rejection (when removed from the waitlist)
    • These email templates can be found under Marketing > System Emails

This feature helps ensure a smooth registration process while maintaining attendee limits efficiently!

Note: The waitlist feature currently applies to free events with single registrations. We are actively working to expand this functionality to support all event and registration types in future updates.
