This article provides a step-by-step guide to enabling and configuring group registration in vFairs, allowing attendees to register multiple participants and select single or multiple tickets, with customizable ticket options for events.
Group registration is a useful feature for events where attendees need to register multiple participants at once, streamlining the process.
Group Registration with Single and Multiple Ticket Selection allows users to register multiple participants. Single Ticket Selection gives all group members the same ticket, while Multiple Ticket Selection lets users choose different ticket types.
Step 1: Access Event Setup
- Log into your vFairs dashboard by logging in with your event credentials.
- Navigate to the Registration section from the left-hand menu.
Step 2: Access the Registration Settings
- Under Registration, you will see multiple options.
- Click on the Form Builder to access and go to any registration form for example Attendee registration form.
Step 3: Enable Group Registration
- Within the Registration. Add the element Group Registration by clicking on the + sign.
- This will add the group registration element and will enable Group Registration.
Step 4: Configure Ticket Options
- After adding group registration element, there are two ticket selection configuration options that you can allow for attendees/registrants:
- Single Ticket Selection: This option allows attendees to register a single ticket but multiple quantities of same ticket. [By default, this is enabled]
- Multiple Ticket Selection: This option enables the attendee to select multiple tickets and multiple in one session.
- For enabling multiple ticket selection, go to settings of the group registration element by hovering over the field and clicking on the gear icon.
- A pop-up would open, then go to advanced settings and toggle "Multiple ticket selection"
Step 5: Save and Publish Changes
- Once you’ve made the necessary configurations, click Save form to ensure all changes are stored.
- To activate the group registration settings, return to the main event page and ensure that the changes are published live.
Step 6: Preview the Registration
- To verify your changes, go to the event’s registration page and test the process by registering a group.
- Ensure that both the single-ticket and multiple-ticket options are available and functioning as expected.
Here’s a detailed use case based on your scenario:
Multi-Day Event Use Case:
Event: A 3-day festival with separate tickets for each day and customizable add-ons.
-
Day 1 Ticket: Attendees can purchase a standard ticket for access to the event on Day 1.
- Add-ons:
- Concert Access Add-on: Gives access to exclusive evening concerts.
- Food Add-on: Pre-purchased meal vouchers for food stalls.
- Drinks Add-on: Includes drink vouchers for bars or beverage stations.
- Add-ons:
-
Day 2 Ticket: Separate ticket for Day 2 with the option to choose:
- Concert Access Add-on
- Food Add-on
- Drinks Add-on
-
Day 3 Ticket: Similar ticket structure for Day 3 with the same or different add-ons (depending on event offerings).
Example Registration Flow:
A group of friends is registering for the 3-day festival. Some choose to attend all three days with all add-ons (concert, food, drinks), while others only want tickets for specific days, and may opt out of certain add-ons.
- Friend 1: Buys tickets for all 3 days with concert access and food for each day, but no drinks.
- Friend 2: Selects only Day 1 and Day 2 tickets with drinks and food add-ons, no concert.
- Friend 3: Buys just a Day 2 ticket with concert access but skips food and drinks.
- Friend 4: Buys day1 tickets but on behalf of other family members like 3 quantiles of day 1.
This approach allows for highly customizable registration, where attendees can tailor their experience based on the days they want to attend and which perks or activities they value.
