How to generate and download PDF reports

Learn how to generate and download your PDF reports smoothly and efficiently from the vFairs backend. 

What is a pdf report?

A PDF report refers to a document generated to summarize and present data or analytics. In vFairs, these reports are an overview of the event including information on attendee engagement, session attendance, and other relevant metrics in a glimpse. Reports are formatted as a downloadable PDF for easy distribution and review by various stakeholders


How to Generate a PDF report?

Step by step guide: 

  1. Login to the backend, and navigate to the “Analytics” section in the left menu. Click on it to expand, then select “Post-event PDF Reports”

 


  1. Click the ‘Create Report’ button to start the report generation process.
  2. Fill out the below given fields:

Field

Description

Email Address

Enter the email address where you want the report to be sent upon completion.

Date Range and Time (From)

Select the ‘start date and time’ for the data you want to be included in your report.

Date Range and Time (To)

Select the ‘end date and time’ for the data you want to be included in your report.

Edit Title Page (Toggle)

Enabling it will show a pop-up description box

Enable Report and Image Options (Toggle)

Enable this option to include images and detailed report options in your PDF.

Select Reports

Choose which types of reports you want to include, such as booth statistics, user statistics, webinar statistics, chat statistics, carbon calculator.

Additional Report Options (Toggle)

Toggle this to access additional report customization options

Select Event Images

Choose images from your event (Lobby, Info Desk, Auditorium) to include in the report for visual enhancement.

  1. After filling in the above fields, click the ‘Save’ button at the bottom right of the drawer to generate a report. 

  1. Generated report will be mentioned in the listing.

How to download a PDF report?

  1. After the report is created and available on the listings screen, Status of the report will be seen as “Queued”. 
  2. As soon as the status changes, one can proceed to download the report
  3. Upon clicking ‘Download’, the user is taken to the PDF report and given the option to print the report.
  4. Upon clicking the ‘Print’ button, a pop-up shows to save the report. 
  5. Clicking the ‘save’ button will save the PDF report.

Note: Queued status is changed to Download only when the next report goes into a queue.
