Learn how to import attendee data in bulk using a CSV file in your event. This guide provides a step-by-step process for uploading, mapping form fields for attendee profile efficiently.
As an event organizer, attendees data can be imported to the portal using the import function available in the vFairs backend. This will help registering attendees in bulk in case the registration is being handled outside of the vFairs system. All we need is participants' data in a CSV file to import them into the system.
Import attendees using a CSV file is a process of uploading participant information into a system or platform using a specially formatted CSV (Comma-Separated Values) file. This method is often used in software systems event management, webinars, or virtual meeting platforms to export/import efficiently add multiple attendees at once. The CSV file typically contains fields such as attendee name, email address, and other relevant details.
Steps to upload the participants data using CSV file:
1- Login to the backend portal using the email address and password shared by your vFairs representative.
2- From the left menu, navigate to the Participants and then go to the Attendees & Registrants.
3- In the listing, click on the Import button and select Upload CSV.
Note: Please "Download Template" to ensure that you align with the system field requirements.
4- Upon selecting the Upload CSV option, a dialogue box will appear with a few options. You will be able to perform the below functions on this Dialogue box:
- Select the CSV file you would like to import.
- Select the type of the users i.e. Attendees, Booth reps or Event Admins.
- If you wish to send an email to the imported users, select the email template.
- Click on the Import button to proceed with the mapping.
5- On the mapping screen, you will be able to match the very first record in the CSV file with the registration form fields that have been created. For example, Name in the CSV file can be mapped with the Name field, Email address in the CSV file can be mapped with the email address field and so on. Once the mapping has been completed, Click on the Save button to begin the import.
Note: You will notice that the toggle for the Unique column against the Email address field is automatically set to Yes. vFairs system treats email address as a unique identifier hence this toggle must be set to Yes before the data is imported.
6- After the data has been imported, a success message will display on the screen.
Caution: Before repeating the above process for another set of data, make sure to remove the duplicates as the data for the existing users will be overwritten if duplicate email addresses are found.
