How to Manage Invoices for Registrations

vFairs allows you to automatically send invoices to registrants when they purchase tickets and also lets you download individual invoices from the backend at any time.

This guide walks you through how to enable invoice sending and how to download invoices manually.

 

To automatically send invoices to attendees when they register and purchase tickets, follow these steps:

Step 1: Go to the Registration Form

  • Navigate to Registration > Form Builder



  • Open your Registration Form



Step 2: Configure Ticket Settings

  • On the form preview, locate the Ticket Settings element



  • Click the pencil icon  on that element to open its settings



Step 3: Enable Invoice Options

  • Switch to the Advanced Settings tab

  • Enable the Send Invoice toggle
    → This ensures an invoice is sent when an attendee completes a ticket purchase

  • (Optional) Enable Send Invoice for Zero Amount
    → Turn this on if you want to send invoices even for free tickets or tickets that become free after discounts

  • Click Save in the settings window



  • Then click Save Form to save the full registration form



That’s it! Now attendees will automatically receive a PDF invoice as an attachment with their confirmation email when they register.

How to Download an Attendee’s Invoice (PDF)

If you ever need to manually download an attendee’s invoice:

  • Go to Participants > Attendees and Registrants



  • Search or locate the attendee whose invoice you want

  • Click on the three-dot menu (⋮) next to their name

  • Select Download Invoice PDF



The most recent invoice for that attendee will be downloaded to your device.
