How to Manage Multiple Booths as an Exhibitor

In this article, we will walk you through the steps on how to manage multiple booths as an exhibitor in your vFairs event. This feature allows you to streamline your responsibilities, especially during larger events.

Managing multiple booths as an exhibitor can be a challenging task, but vFairs provides a straightforward way to assign and manage multiple booths under a single booth representative. 


Steps to Manage Multiple Booths as an Exhibitor

🔹 Step 1: Access the Participants Section

  1. Log in to your vFairs event backend using your exhibitor or admin credentials.

  2. From the left navigation menu, go to the Participants section and click on Attendees and Registrants screen. 


🔹 Step 2: Filter Booth Admins

  1. In the Participants section, click on the Filter button.

  2. Select Booth Admins from the User Type Filter options. This will help you find the booth administrators who are assigned to the booths.


🔹 Step 3: Edit Booth Admin's Assignment

  1. After filtering, you will see a list of booth admins. Find the booth admin you want to assign multiple booths to.

  2. Click the pencil icon (Edit) in front of the booth admin you wish to edit.


🔹 Step 4: Assign Multiple Booths

  1. Scroll down in the edit menu and locate the Secondary Booths field.

  2. In the Secondary Booths field, enter the relevant booths that the admin should manage in addition to their primary booth.


🔹 Step 5: Save the Changes

  1. After entering the secondary booths, click the Update Booth Admin button seen at bottom right of the drawer to save your changes.


🧠 What Happens After Assigning Multiple Booths?

  • The selected Booth Admin will now be able to manage all the booths assigned to them (primary and secondary) from a single interface.

  • This setup allows the booth admin to oversee and engage with attendees across multiple booths without needing to switch accounts or interfaces.

  • Organize Admin Responsibilities: Ensure that your booth admins have clear responsibilities for each booth they manage to avoid confusion during the event.

  • Monitor Engagement: Keep track of how booth admins are interacting with attendees across multiple booths to ensure that no booth is neglected.

  • Optimize Booth Representatives: For large events, consider assigning additional booth representatives to ensure prompt response times for all booths.
