How to request a sample in allowance negotiation

vFairs makes requesting samples easy for exhibitors and booth representatives by providing access within the Allowance Negotiation feature. Follow these steps to request a sample

Overview:

Step 1: Log in to the Portal

Open your web browser and navigate to the exhibitor back-end portal for your event. Log in using your admin credentials.



Step 2: Access the E commerce Dashboard

Once logged in, locate the eCommerce dashboard from the navigation menu. This is where you can manage product entries, negotiate Allowances and make sample requests.To learn more about Negotiating Allowances click here:  Negotiate Allowances

Step 3: Select the Item for Sample Request

Find the product or item for which you want to request a sample. In the item entry, look under the "Actions" column for a three-dot icon.

  • Click on the three-dot icon.
  • From the dropdown menu, select the Request Sample option.

 







Step 4: Enter Sample Request Details

After clicking Request Sample, a side panel will open containing two fields:

  • Number of Cases: Enter the number of cases you would like delivered.
  • Comments: Add any specific notes or instructions for the admin, such as preferred delivery details or item specifications.

 

Step 5: Submit the Request

Once all the necessary information is entered, click the Request button at the bottom of the side panel. This action will submit your sample request to the event admin.

 

Step 6: Admin Review and Sample Request History

The request is sent to the event admin for review. The admin can access the Sample History section, available at the top-right corner of the table on their dashboard, to view all requests.


Key details available in the Sample Request History include:

  • Item Name
  • Vendor
  • Number of Cases
  • Comments
  • Date and Time of Request

 



Note: Exhibitors can only view their own requests, while the admin has access to all sample requests made by exhibitors.
