Summary
The abstract management reviewer workflow simplifies the process for reviewers by allowing them to log in to the reviewer dashboard, view and download submissions, see evaluations from other reviewers, and add decisions to submissions. The process starts when reviewers receive a "Reviewer Invite" email with a link to access the dashboard, followed by using pre-shared login credentials or creating a password upon their first login, and entering the dashboard for initiation of decision making on the assigned submissions.
STEPS FOLLOWED BY A REVIEWER
1. Reviewer receives an “Invite email” upon being added to the system with a sign up link to access the “Reviewer Dashboard”
2. Upon clicking on the “Sign up” link, the reviewer gets redirected to the “Password Setup Screen” to set their password upon first login. Followed by adding their login credentials on the login screen to enter into the reviewer dashboard.
NOTE:If the event organizer has already set up the password, the password setup step will be skipped, and the reviewer will be redirected to the login screen to enter the shared login credentials and log in.
3. Upon entering the dashboard, reviewers will have visibility of the submissions assigned to them.
Following are the details that a reviewer sees on the submissions listing screen
- Submission Title
- Submission Category
- Date of submission
- Status of decisions on each submission
Decision statuses include the following:
- Evaluation Pending
- Evaluated
- Accepted
- Rejected
NOTE: The statuses on the reviewer dashboard update dynamically as soon as a reviewer either evaluates or accepts/rejects a submission.
4. Reviewers can view the details of the assigned submissions through the prominent “eye icon” under the actions section of the listing. They can additionally extract “PDF versions” of the submissions.
5. Clicking the “3 dots” under the actions section opens up a pop up with the following options:
- View: Functions similar to eye icon and lets the reviewer view and download the submission.
- View Evaluations: Allows the reviewer to have visibility of the decisions given by other reviewers.
- Evaluate: Opens the evaluation section, enabling the reviewer to assess submissions based on various scoring criteria and provide detailed feedback.
- Accept: Lets the user accept the submission through selection of acceptance reasons and adding acceptance related descriptive feedback.
- Reject: Lets the user reject the submission through selection of rejection reasons and adding rejection related descriptive feedback.
6. Clicking the “View Evaluations” option allows the reviewer to see decisions made by other reviewers (if the submission is assigned to multiple reviewers). This feature serves as an additional resource to assist reviewers during their own evaluation process.
NOTE: The visibility of the "View Evaluations" option depends on whether it has been enabled or disabled by the event organizers.
7. Upon clicking the “Evaluate” button, reviewer gets redirected to the “Evaluation Submission” screen which includes the evaluation criterias defined by the event organizers for reviewers to accordingly score the submissions. It additionally includes an “Additional Feedback” section that lets the reviewer share their descriptive thoughts on the submission.
8. Upon clicking on “Accept” or “Reject” options from the menu pop up, users can add decisions to the submissions based on their analysis. Clicking the options directs users towards an acceptance or rejection decision drawer where they can select a predefined “Acceptance/Rejection Reason”, “Acceptance/Rejection Option”, and provide a descriptive feedback associated with their decision.
9. Completion of review updates the status of submission on the reviewer dashboard for them to accordingly keep a track of the submissions which have been evaluated/accepted/rejected or are in the pending status.
