This guide explains how to send an email notification and an invoice to attendees when they upgrade or downgrade their ticket selection. By enabling the required settings event owners can ensure that attendees receive confirmation of ticket changes
Prerequisites
This functionality is available only when the following setting is enabled:
- Navigate to Registrations > Tickets > Settings > Ticket Change Rules
- Toggle Allow Attendees to Change their Purchased Tickets to ON
Enabling Email Notifications for Ticket Changes
To send an email confirming the amount due or refunded when attendees change their tickets and add-ons:
- Go to Event Settings:
- Navigate to Event Settings in the backend.
- Locate and turn Send Email When Users Upgrade or Downgrade toggle to ON.

- Navigate to Marketing > System Email.
- Click on Create Template
- In the screen that appears, click Select Template.
- In the pop-up that opens, go to the Registration Confirmation section.
- Choose the template labeled "Upgrade Downgrade Email" with the description "send email upon upgrade downgrade".
- Set the following details:
- Language
- Subject
- From Name
- From Email
- BCC Email (optional)
- Click Continue.
- Modify the template as needed and click Save.
Adding the Upgrade/Downgrade Invoice Email
To include an invoice reflecting ticket changes:
- Repeat the steps above, but select the "Upgrade Downgrade Email" template with the description “Upgrade Downgrade Ticket” instead of the email template.
Email Content & Attachments
Once configured, whenever a user changes their ticket selection:
- They will receive an email summarizing:
- New tickets/add-ons added
- Revised ticket selection (includes unchanged tickets/add-ons and newly added ones)
- Amount due (for upgrades) or refund amount (for downgrades)
- Observe the example attached:
- Initially the Attendee purchased the $10 Pass, and then added another ticket a $20 Pass.
- Including delivery fee charges their pending amount is shown as $22
- An invoice will be attached to reflect these changes.
This ensures that attendees receive a clear confirmation of their updated registration details along with necessary payment or refund information.
