How to Send Bulk Email to Selected Booths

This feature allows for seamless communication, helping you efficiently reach all the relevant booth admins or representatives without the need to send individual emails.

Overview

Sending bulk emails to selected booths in vFairs is a convenient way for exhibitors or event organizers to communicate important information to multiple booths at once.


Steps to Send Bulk Email to Selected Booths

🔹 Step 1: Log in to the Exhibitor Management Section

  1. Log in to your vFairs event backend using your organizer or exhibitor credentials.

  2. From the left navigation menu, go to Exhibitor Management.


🔹 Step 2: Go to Booth Management

  1. In the Exhibitor Management section, click on Booth Management.


🔹 Step 3: Select the Booths for Bulk Email

  1. On the Booth Listing screen, you will see a list of all booths.

  2. Tick the booths you want to select for the bulk email. You can select multiple booths based on your requirements.


🔹 Step 4: Click the 'MORE' Button

  1. After selecting the booths, click the ‘MORE’ button, located at the top right of the screen, just above the Actions column.


🔹 Step 5: Choose 'Send Bulk Email to Selected Booths'

  1. From the dropdown menu, you will see the option ‘Send Bulk Email to Selected Booths’. Click on this option to proceed.


🔹 Step 6: Confirm Email Request

  1. A pop-up window will appear asking, "Are you sure?"

  2. Click ‘Yes’ to confirm and proceed with sending the bulk email.


🔹 Step 7: Success Confirmation

  1. After confirming, you will receive a notification pop-up saying: "Your bulk email request has been successfully queued and will be sent shortly." 

  2. Your bulk email will now be queued and sent to the selected booths.


🧠 What Happens After Sending Bulk Email?

  • Email Delivery: The bulk email will be delivered to all the selected booths.

  • Queuing Process: The system will queue your email and send it automatically to the booth admins or representatives.

  • Confirmation: Once the email request is successfully queued, you will receive confirmation in the form of a pop-up message.

  • Review Booth Selection: Before sending bulk emails, double-check the selected booths to ensure you are emailing the correct recipients.

  • Timing of Emails: Consider the timing of your emails to ensure that they are sent at an optimal time for booth representatives to receive and respond promptly.

  • Use Clear Subject Lines: Make sure the subject line of your bulk email is clear and relevant to the recipients so they know exactly what the email pertains to.
