How to Use the Attendee Data Anonymization Feature

The Attendee Data Anonymization feature helps event organizers protect participant privacy by allowing them to manually anonymize selected attendee data after the event.

Once anonymized, this data is permanently replaced with masked or randomized values and cannot be restored.

This is useful for events where sensitive personal information must be purged after a specific period for compliance or internal data handling policies.

Accessing the Anonymization Settings

  1. Navigate to Form Builder > Settings for the attendee registration form.

  2. Scroll down to the Data Anonymization section.

  3. Enable the toggle labeled “Enable Attendee Data Anonymization.”

Marking Fields for Anonymization

Once anonymization is enabled:

  1. Go to Form Builder > Configure Form Fields.

  1. Click the pencil icon on the field you want to anonymize.

  1. In the Advanced Settings panel, enable the toggle “Anonymize this field.”

You can mark multiple fields for anonymization. Only these selected fields will be affected when anonymization is triggered.

Triggering Anonymization Manually

  1. Return to Form Builder > Settings > Data Anonymization.

  2. Click the “Anonymize Now” button.

How Anonymization Works

Fields marked for anonymization will be replaced with anonymous values:

Field Type

Example Before

Example After

Name

John Doe

Anon_8273

Email

john.doe@email.com

anon8273@anonymous.com

Phone

+1 234567890

XXXX

Fields not marked for anonymization (e.g., company name) remain unchanged.

Viewing Anonymization History

After anonymization is triggered, a log entry will be created.

Below the anonymization settings, you can view the Anonymization History, which includes:

  • Date & Time of anonymization

  • Triggered By (the backend user who performed the action)

  • Trigger Type (Manual)

Email Notification

Once anonymization is successfully completed, the system sends an email notification to the backend user who initiated the action.

Important Notes

  • Anonymization is a manual process and must be triggered intentionally by the event organizer.

  • Once data is anonymized, it cannot be recovered.

  • Ensure the correct fields are selected before triggering anonymization.
