Integration Setup Guide: Bidirectional Sync Between vFairs and Dynamics 365 (D365) via Zapier

Automatically sync attendee data between vFairs and D365 to create leads and attendees seamlessly.

Overview of the Integration

With the vFairs-D365 Zapier integration, attendees who register on vFairs are instantly added to D365 as leads for sales follow-up. Conversely, leads created or updated in D365 can be added as attendees in vFairs, ensuring your event roster stays updated. This bidirectional sync enhances marketing, sales, and event management efficiency.

Integration Process

  1. Field Selection: Identify key attendee/lead fields (e.g., email, name, company).

  2. Create Fields:

    • In vFairs: Use the Form Builder to design registration fields.

    • In D365: Ensure lead fields (e.g., firstnameemailaddress1) exist.

  3. Zapier Setup:

    • Zap 1: Triggered by vFairs attendee registration → Create/update D365 lead.

    • Zap 2: Triggered by D365 lead creation → Create vFairs attendee.

  4. Field Mapping: Map vFairs fields to D365 fields (and vice versa) in Zapier.

  5. Testing: Validate data flow in both directions.

 

Step-by-Step Setup

1. Configure vFairs → D365 Lead Sync

A. Trigger (vFairs): New Attendee Registration

  1. In Zapier, create a new Zap.

  2. Trigger AppvFairs → Event: “Add or Update Attendee” .

  3. Authenticate vFairs with Zapier.

  4. Test: Register a test attendee to confirm data capture.

B. Action (D365): Create/Update Lead

  1. Add Action: Find Record in D365 (search by emailaddress1).

  2. Conditional Logic:

    • If Lead Exists: Update D365 lead with vFairs data.

    • If Lead Doesn’t Exist: Create a new lead.

  3. Map Fields:

    • email → emailaddress1

    • first_name → firstname

    • company → companyname


2. Configure D365 → vFairs Attendee Sync

A. Trigger (D365): New Lead Creation

  1. Create a second Zap in Zapier.

  2. Trigger AppDynamics 365 → Event: “New Record” (filter for leads).

  3. Authenticate D365 with Zapier.

B. Action (vFairs): Create Attendee

  1. Add Action: Create Attendee in vFairs (use vFairs API or Zapier action if available).

  2. Map Fields:

    • firstname → First Name

    • emailaddress1 → Email

    • companyname → Company
