Understand booth configurations

Learn how booths can be customized using both basic and advanced booth settings to effectively present an exhibitor's brand, engage attendees, and achieve specific event goals. 

What is a Booth?

In vFairs, a booth is a representation of an exhibit or display typically seen at physical trade shows, expos, or fairs. These booths serve as online spaces where event participants—such as exhibitors, companies, or sponsors—can showcase their offerings to attendees. 

Virtual booths aim to replicate and enhance the experience of in-person events, allowing exhibitors to interact with a global audience, answer questions, and collect potential client information—all from an online environment. 




What are Booth Settings?

In vFairs, booth settings refer to the customization options available to configure virtual booths in online events like trade shows, career fairs, or expos. These settings help exhibitors control how their booths are presented and how attendees can interact with them.


Accessing Booth Settings

  1. Login to the backend, and navigate to the “Booth Management” section in the left menu. 


 

  1. Click on the ‘Settings’ button to access booth settings for Booth Configuration.



  1. Booth settings are further divided into two categories i.e. Basic and Advanced. 

Booth Basic Settings:


Setting Name

Description

Send From Name

Enter the name that will be visible to recipients when they receive the booth setup email from the event organizer to build their booth.

Send From Email

Enter the email address that will be shown as the sender's email. Note: It's recommended to be kept as noreply@vfairs.com to prevent emails going to receivers' spam folder, however, If you want to customize this please get in touch with your assigned Project Manager to help you with this.

Randomize Booths

Enable this to shuffle booth order every time the page refreshes.

V3 Layout Sets Available in Booth Setup Form

Select the booth layout designs that you want exhibitors to be able to choose from. (Tip: Leave it empty to enable all options.)

Enable New Cache

Enable this to use a new cache mechanism for faster performance.

Simplified Booth Detail View

Enable this to display a simpler (2D) booth detail layout.If you wish to keep the 3D view, leave it disabled.

Hide Job Vacancies Step

Enable this to remove the job vacancies step from the booth setup. This is typically enabled for career or job fairs to allow exhibitors/employers to add job vacancies to their booth for job seekers to apply directly.

Hide Booth Rep Step

Enable this to hide the booth representative step from the booth setup form in case you don’t want exhibitors to add their team members

Hide Step 3 (Content Links)

Enable this to remove the content links step in the booth setup form. Content links are the menu buttons that are displayed inside your booth and may link to any external web pages or additional information.

Show Products Section in Booth Setup Form

Enable this to show the products section in the booth setup form. This is typically enabled in trade shows or product launch events so that exhibitors are able to add their product line via the booth setup form.

Enable Feature Jobs

Enable this to allow exhibitors to highlight or mark certain jobs as featured for better visibility.

Enable Booth Meetings

Enable this to allow attendees to book meetings with available exhibitors at the booths.

Basic Booth Detail View

Enable this for a more simple display of booth details.

Booth Layout V3

Enable this to use version 3 of the booth layout design.

Disable Booth Setup Form

Enable this to completely disable the booth setup form. This is typically used by event organizers to prevent exhibitors from accessing the booth setup form and making any further changes.

Hide Step 2 (Graphics Section)

Enable this to skip the graphics step when setting up the booth.

Enable Booth Q&A Notifications for Booth Admins

This enables the Q&A section inside the booths that allows attendees to ask questions from the exhibitors in a moderated area. 

Show Country Selection

Enable this to allow exhibitors to select their country during the booth setup.

Show Floor Selection in Booth Setup Form

Enable this to allow selection of booth floor during the booth setup. In case of multiple booth floors in an event, organizers can enable this so exhibitors can choose the relevant floor when setting up their booth.

Enable Grid View

Enable this to allow attendees to switch between a grid view and the default slider view of booths on the virtual platform 

Show Meeting Link Field

Enable this to allow exhibitors to add their preferred meeting link (i.e. Zoom meeting, MS Teams etc) for each exhibitor so that attendees can connect with them on this link.

Enable Reporting for Booth Admin

Enable this to allow booth admins to access the backend portal for easy access to all the available reporting and analytics for their own booths.

Enable Job Screening Questions

Enable this to allow exhibitors to add screening questions for job vacancies. These questions will be asked to the job seekers when they apply for a certain job on a booth and can help exhibitors in screening out candidates in a more efficient manner.

Hide Step 9 (E-Commerce Section)

Enable this to skip the e-commerce step during booth setup.

Enable Alphabetical Sorting of Booth Reps

Enable this to sort booth representatives in alphabetical order in the exhibit hall’s index.

Add Search Bar

Enable this to include a search bar for attendees to search for booths and navigate to them easily. This search bar is displayed at the top of the navigation menu in the virtual platform.

Emails to be Copied in Booth Communications

Enter email addresses that will receive booth communication copies when exhibitors submit their booths or make any updates in them via the booth setup form

Custom First Page Content

Edit the default content on the first page of the booth setup form.

Hall Background

Upload an image to customize the hall background that displays behind the booths on the virtual platform


These settings provide the essential capabilities to personalize and optimize the booth for attendee engagement while maintaining consistency with the company's branding. 

Advanced Settings

Advanced Booth Settings in vFairs provide exhibitors with additional tools and customization options that go beyond basic booth features. 


These settings are designed to enhance attendee engagement, improve booth functionality, and provide exhibitors with more flexibility. Some of the common advanced settings include:

Enable Booth Q&A Notifications for Attendees

Notify attendees of booth Q&A updates happening in the booths.

Show Product Description

Include product description in the product listings of the booth to help users understand better.

Show Product SKU

Show SKU (Stock keeping unit) for inventory and tracking purposes.

Show Product Image

Add visuals to help identify products.

Enable Self-Service Booth Design Builder

Provide booth owners tools to customize their booth.

Enable Candidate Tagging

Tag candidates for better categorization and follow-up. (Manage Tags button that appear upon enabling this where users can Add Tags.) This helps employers label the candidates they have interviewed to categorize them in a more efficient manner.

Enable Q&A Pin/Unpin

Enabling this toggle will allow exhibitors to highlight important Q&A discussions for easy reference inside the Booth Q&A.

Show Product Categories

Categorize products to give a clear understanding to booth visitors.

Show Product Name

List product names for easy identification.

Show Product Price

Inform booth visitors of product prices to have transparency and elevate the decision making process

Show Product Size

Include size details to assist in better understanding and decision making

Automatic Job Deactivation

Set the date till when Job postings are available and after that date, they will be automatically deactivated to ensure no further job applications beyond the deadline.

Enable Hall Railing

This allows organizers to display a carousel of exhibitors' logos in the slider view hall

Enable Two Rows of Booths

If enabled, this would display the booths in two rows front and back in the slider view hall.

Show vFairs Branding in Mailer

Include vFairs branding for promotional purposes in the booth communication mailers


These advanced settings provide powerful features for customization, attendee interaction, and lead generation, helping exhibitors maximize their presence and efficiently achieve their event goals.
