How to set up allowance negotiation

Learn to use the allowance negotiation feature, enable the necessary settings, add products, negotiate allowances and finalize them efficiently within your e-commerce dashboard. This guide walks you through the steps to manage allowance negotiations.

Overview:

The Allowance Negotiation feature allows Admins and Exhibitors to negotiate product allowances directly within the e-commerce dashboard. By following the simple steps outlined below, you can streamline allowance adjustments and finalize them in an organized workflow.



Step-by-Step Guide:

1. Enabling the Allowance Negotiation Feature

  1. Navigate to the Event Setup tab in the Side Panel.

  2. Go to the E-commerce Module settings.

  3. Toggle on the "Enable Allowance Negotiation" option to activate the feature in your e-commerce dashboard.

    Alternatively:

    • Navigate to the E-commerce tab in the left-side panel.
    • In the E-commerce dashboard, click on Settings (top-right corner, next to the Add Item button).

    • Locate the Enable Allowance Negotiation toggle and enable it.

Once enabled, a new sub-tab called Allowance Negotiation will appear in the E-commerce dashboard.

 

2. Setting Up Your E-commerce Item Form

  1. Navigate to the Form-Builder in the Registrations Tab.
  2. Create your E-commerce Item Form and include necessary fields, such as:
    • Product Name
    • Allowance
    • Price

3. Navigating the Allowance Negotiation Tab

      1. Access the Allowance Negotiation tab from the E-commerce module.
      2. View the list of all supplier/vendor worksheets. Each row includes:
        • Supplier name and information.
        • Allowance worksheet status (e.g., Pending, Accepted).
        • Number of items pending action, if applicable.
      3. Click on a worksheet to view the Worksheet Item Dashboard, where individual items can be negotiated.



4. Adding Items to the Allowance Negotiation Dashboard

  1. Go to the Item Dashboard to start adding items.

    • Option 1: Add Individual Items
      1. Click the Add Item button (top-right corner).

      2. Fill out the fields in the side panel and save the item.

    • Option 2: Bulk Upload
      1. Download the CSV template.

      2. Add your items to the template.
      3. Upload the file using the Import feature.

    • Pending Supplier Review: Items added by the Admin, awaiting supplier action.
    • Pending Admin Review: Items added by the exhibitor/supplier, awaiting Admin review.

Pending Admin Review 

The item is under Admin review, requiring them to negotiate, accept, or reject.

Pending Supplier Review 

The item is under supplier review, requiring their action to negotiate or accept.

Accepted

The item has been accepted and will appear on the e-commerce front-end.

Rejected

The item has been rejected, but the supplier/exhibitor can resubmit the allowance for negotiation.

 

6. Negotiating Allowances

At the Item Level:

  1. Click on the three-dot icon next to the item and select Negotiate.

  2. A side panel will open, displaying the current allowance.
  3. Enter the new allowance and add any comments if needed.
  4. Click Negotiate to send an email notification to the other party with details of the updated allowance.

At the Worksheet Level:

  1. Click the Edit Worksheet button (top-right corner) to edit multiple items at once.
  2. Update the allowance values for several items in the worksheet.
  3. Once all changes are made, click Save Changes (top-right). A single email notification will be sent with details of all updated allowances.

7. Finalizing Allowances

  1. To accept an allowance:
    • Click the three-dot icon next to an item and select Accept.

    • For Admins, the item status must be Pending Admin Review to finalize the acceptance.
    • For exhibitors/suppliers, the status must be Pending Supplier Review before the allowance can be updated or accepted.
    • Bulk Acceptance:
        • To accept multiple items at once, follow these steps:

          1. Select Items:

            • Click on the checkbox on the left to select one, multiple, or all items in the worksheet.
          2. Access Bulk Action Options:

            • Once the desired items are selected, click on the More button in the top-right corner.
          3. Accept Items:

            • From the dropdown, select Accept Selected Items.
            • This will accept all selected items in bulk.

          By using this method, you can save time and streamline the allowance acceptance process for multiple items simultaneously.

 

Tips:

  • Use item-level negotiation for individual adjustments and worksheet-level negotiation for bulk updates.
  • Regularly check the item statuses to ensure a smooth negotiation flow.
  • Always review the email notifications for accuracy and record-keeping.
